Simple Rental Records

Terms of Use

Updated October 12, 2026

These terms explain what Simple Rental Records offers, how you may use it, and what you are responsible for when you keep your rental records here. We have kept them as short and plain as we can.

Using Simple Rental Records

Simple Rental Records helps landlords keep track of rent, expenses, tenants, and reports. By creating an account, joining a business, or continuing to use the service, you agree to these terms and to our Privacy Policy.

We are a record-keeping tool. We are not a bank, a property manager, a law firm, or a tax preparer. Our reports, including the Schedule E worksheet, summarize the figures you enter. They are not tax, legal, or accounting advice, so please check important figures with a qualified professional.

Your account and your business

Each account belongs to one person. You can belong to more than one rental business, and each business keeps its own houses, apartments, tenants, payments, files, and reports.

Whoever creates a business is its owner. Owners can invite other people with an invite code and decide what they can manage. Please invite only people who should see your books, and remove them when they no longer should. You are responsible for the people you invite.

Use an email address you control and keep your password private. If you turn on sign-in codes, make sure you can receive them at that email address.

Your records

You decide what to enter. Your books can include:

  • Your houses and apartments, their addresses, and each apartment’s monthly rent.
  • Payments received and paid, with a date, apartment, category, description, and optional note.
  • Tenant names, contact details, and the dates each tenancy starts and ends.
  • Leases and receipts as PDFs or photos, up to 10 MB each.
  • Saved reports, imported spreadsheets, and monthly payment reminders.

You confirm that you have the right to keep the information and files you add, including your tenants’ details. Your records belong to you. You can download your full ledger and any saved report at any time, and every receipt and lease can be downloaded too.

The live demo

The live demo is a shared example business, Maple Street Rentals. Its tenants and payments are made up, and it resets to its original state every night. Other visitors can see anything entered there, so please do not add real names, addresses, phone numbers, or documents. The demo is separate from your own books.

Free trial and pricing

You can try Simple Rental Records free for 30 days, with no card required. After that, the price is $9.99 a month or $99 a year for each business, for up to 10 houses.

Fair use

Please use Simple Rental Records only to keep rental records you are allowed to keep. You agree not to:

  • Try to see another business’s records, guess passwords, or share an invite code with someone who should not have it.
  • Upload harmful files, or anything other than a genuine lease or receipt.
  • Use the service to harass anyone, or to store information you have no right to hold.
  • Disrupt the service or use it to break the law.

To protect everyone, we limit repeated sign-in and invite attempts. We may suspend or end access for anyone who breaks these terms.

Keeping your records safe

We work hard to keep the service available and your records safe, and everything you enter in your books is backed up automatically every day. Like any online service, we cannot guarantee that it will never be interrupted, or that lost or deleted records can always be recovered. We recommend downloading copies of your ledger and reports from time to time, and keeping your original documents.

When you confirm a deletion, that record is removed from your books, along with any lease or receipt attached only to it. Please make sure you no longer need a record before you delete it.

Signing out and closing your account

You can sign out on any device. Changing or resetting your password, or turning sign-in codes on or off, signs out your other devices. Owners can remove teammates, although every business always keeps at least one owner. To close a business or delete your account, contact us and we will explain what will be removed and help you download a copy first.

Changes to these terms

We may update these terms as Simple Rental Records grows. The date at the top of this page shows when they last changed. If a change affects what you pay or how your records are used, we will tell you before it applies to a paid plan. Continuing to use the service after an update means you accept the new terms.
